Travel Information

Delegates are responsible for the arrangement of their own flight bookings, travel insurance, overnight accommodation during travel, airport shuttle, and visa to enter and depart from respective countries during their travel.

Visa: A business visa is required from the Namibian Ministry of Home Affairs--tourist visas are not valid for for attendance at conferences. Please note that visas should be arranged by the local Namibian visa agent--you should not to attempt to get a visa by any other means.

The visa charge is included in the conference registration fee. Should you be traveling for leisure pre- or post-conference, remember to include those dates in your visa application.

Please fax the following documents to Ms. Winston Smith:

- a copy of your passport
- a copy of the invitation letter to attend the conference
- part A of the second page of the visa application [download here].

Please note that transit visas are required for South Africa--please check with your travel agent.

Passport requirements for travel to Namibia: These rules are very strictly implemented. The law states that all foreign nationals entering Namibia are required to have a minimum of 2-4 blank pages in their passport to enable the entry visa as well as other stamps to be endorsed by authorities concerned. If there is insufficient space in the passport, we have been advised that entry will be denied and it is likely that the passenger will be detained pending return to their country of origin. In addition, passports must be valid for at least six months and passengers traveling on passports within six months of their expiry date also run the risk of being refused entry into the country.

Airport: Your destination airport should be Windhoek International Airport -WDH (Hosea Kutako), which currently has direct international connections to Johannesburg, Cape Town, Maun, Frankfurt, Munich, and London.

Hotel Reservations: Delegates are responsible for their own hotel bookings while in transit. A special rate for conference delegates has been arranged with the Safari Hotel in Windhoek: www.safarihotel.com.na.

Please mention you are booking a room under the ILTER block booking; early booking is highly recommended, and rooms are allocated based on availability. The single room rate on bed and breakfast basis is N$ 498.00 for a Luxury, N$ 460.00 for Business class and N$ 352.00 for Budget rooms.

A special price of N$ 80.00 has been arranged for ILTER delegates; please identify yourself as such when booking.

Delegates are responsible for amending bookings as cancellation fees may apply.

It is advised that you take out travel insurance prior to departure and to cover your period of stay in Namibia.

Transport to Gobabeb: Gobabeb is 310 km from Windhoek, and buses have been arranged to transfer delegates from the Safari Hotel to Gobabeb as follows:

•  The bus for the ELTOSA delegates attending the meeting on 13 August leaves from the Safari hotel at 11:00 am on Saturday 12 August. ELTOSA delegates get priority on this bus--other delegates who have arrived in Windhoek may need to wait until 13 August.

•  The bus for delegates travelling to Gobabeb on 13 August departs at 11:00 am from the Safari Hotel.

•  The return trip from Gobabeb to Windhoek departs on 19 August at 08:00, scheduled to arrive in Windhoek by 13:00.

Participants should please coordinate flights to coincide with the bus departure/arrival times as additional transport or car hire is costly. Bus costs are included in the registration fee for all international delegates. Car rentals can be arranged from the airport; a 4x4 is recommended but not essential for travel to Gobabeb.
